This is a translation for your information. The Swedish version applies.
Version 1.2. In effect from 3 December 2026. Version 1.1 was in effect from 30 October 2026. Version 1.0 was in effect from 16 September 2026.
Changed in version 1.2: the service gets the parts of the club management system, which open one at a time: the register of the organiser's members, participants, guardians and leaders, the import, the connection to the family account, enrolment, the fee basis, invoices with OCR numbers, attendance with self check-in, criminal record extracts as a status, the basis for grants, notices, invitations and email to groups (section 3). New sections on deletion (8.4), on the import, the connection, the notices and self check-in (9 a to 9 d), on criminal record extracts (10 b), on enrolment and fees (10 c) and on invoices (10 d). Sections 1, 3, 4, 6, 7, 8, 9, 10, 10 a, 11, 12 and 18 are changed. Personal identity numbers and health data still may not be entered (section 9). The data processing agreement changes to version 1.2 at the same time.
An administrator accepts version 1.2 in the portal. Until the organiser has accepted it, version 1.1 applies to the search page, trial sessions, the queue and the photos, and the parts of the club management system do not open for the organiser.
1. The terms in short
- Everything in the service, including the parts of the club management system, is free up to and including 12 September 2027.
- After that you choose for yourselves whether to take out a subscription. Playsa never charges without you having chosen it.
- The same price list for every organiser: club, arts school and company. No setup fee, no lock-in period, no commission.
- You own your data and can get it out whenever you want.
- You are responsible for your register, your attendance, your fees and your invoices. Playsa is responsible for the parents' accounts.
- No personal identity numbers and no health data in the service.
- Parents never pay Playsa anything.
2. Parties and the parts of the agreement
The agreement is between Hodla AB, which is changing its name to Playsa AB, company registration number 559427-7252, Vimpelgatan 1, 211 14 Malmö ("Playsa"), and the organisation that takes over its page on Playsa or otherwise uses Playsa's portal for organisers ("the organiser").
The agreement has two parts:
- The data processing agreement. It takes precedence over the terms in matters of personal data.
- These terms.
If the organiser and Playsa have their own written agreement, it takes precedence over the terms where they differ.
2.1 How the agreement is entered into
- An administrator at the organiser accepts the terms and the data processing agreement in the claim or in the portal.
- The person who accepts confirms that they may represent the organiser.
- The agreement applies from when Playsa has approved the claim. If the organiser has already taken over its page, the agreement applies from the acceptance.
- Playsa stores who accepted, when and which versions applied.
- The portal opens when the terms have been accepted.
3. The service
The service consists today of:
- The profile on the search page: the organiser's page and groups, where parents search for activities.
- The portal: where the organiser reviews, corrects and confirms the details of the groups, sets the places status and publishes trial sessions.
- Trial sessions: parents book the organiser's trial sessions on Playsa.
- Playsa's queue: for groups where the queue is switched on. Parents put the child in the queue, and Playsa sends offers according to the group's priority rules.
- Alerts and reminders: email and notices in the portal when a queue and a free place exist at the same time, when a yes is waiting for word and when the places status is old.
- Photos: the organiser uploads its own photos under section 10 a.
- The interest list: when it opens, parents can register interest with an organiser that has taken over its page, when no group fits the child's age. The organiser sees numbers per activity and age, never names and never a number under 3, and can invite to the queue.
The club management system consists of the parts below. They open one at a time, and only for an organiser that has accepted version 1.2. Playsa notifies the administrators when a part opens, and the organiser chooses for itself whether to use it.
- The register: the organiser's members, participants, guardians and leaders of all ages, with families, memberships and groups per term, duplicate checks, a change log and export.
- The import: the organiser adds its register from a file in Excel or CSV, for example an export from another membership system, under section 9 a.
- The connection to the family account: the organiser invites guardians and adult members to connect their row in the register to their account with Playsa, under section 9 b.
- Enrolment: parents and adults enrol in the organiser's groups on Playsa, with the organiser's fees, discounts, priority, questions and consents. The organiser admits, marks as waiting or declines in the portal, under section 10 c.
- The fee basis: Playsa calculates the fee for each enrolment according to the organiser's settings, and the organiser invoices through Playsa's invoices or in its own system, under section 10 c.
- Invoices: the organiser sends invoices with OCR numbers to the payers and marks off the payments to its own bankgiro, under section 10 d.
- Attendance: the leaders take attendance on their phones, and the families can check in on site when the organiser has chosen it, under section 9 d. The organiser sees the attendance per group and term in the portal.
- Criminal record extracts: the organiser records that a leader's criminal record extract has been checked and until when the check is valid, under section 10 b.
- The basis for grants: Playsa calculates the basis for LOK support and municipal grants from the attendance. The organiser submits the application itself.
- Notices, invitations and email to groups: a notice to guardians when the child is present and when the child was missing, invitations with replies and email to a group, under section 9 c.
Playsa develops the service and may add, change or remove features. If Playsa removes something the organiser uses, Playsa gives notice in advance. New parts that cost something are used only if the organiser chooses to.
4. Account, users and security
- The person who takes over the organiser's page through the claim becomes an administrator.
- The portal has the roles administrator, office and treasurer.
- The administrator and the office see the whole register, the enrolments and the fees.
- The treasurer sees the register, the fees and the invoices but does not change the register.
- The board role exists but does not yet give any access.
- Leaders are the people the organiser has made leaders or assistant leaders in a group. They use the leader view, not the portal, and see only the children in their own groups with their full name and year of birth, as long as the criminal record extract is valid under section 10 b. The leader sees the phone number of a guardian who has connected their account only when the leader presses Call, and every such display is logged. The leader never sees sex, home municipality, email or fees.
- If the organiser wants to give more people access, change a role or remove someone, an administrator does it in the portal or writes to hej@playsa.se.
- Everyone who uses the portal signs in with two-factor authentication.
- Only an administrator can export personal data from the service: the register, the fee basis, the basis for grants and the invoices with names. Every export is logged with who, when and the number of rows. The bookkeeping export has no names and can also be made by the treasurer.
- If someone has lost their second factor, Playsa resets it after checking who is asking.
- The organiser gives each person as little access as possible and asks Playsa to remove anyone who should no longer have access.
- The organiser notifies Playsa immediately on suspicion that someone unauthorised has accessed the portal.
5. The profile on the search page and the claim
- Playsa shows public information about the organiser and its groups even before the organiser has taken over its page, for example from club registers and from the organiser's website. Such information is marked Unconfirmed and shows the source and the date.
- The organiser takes over its page through a claim. Playsa sends a code to the email address on the organiser's own website. The person who enters the code has shown that they reach the organiser's inbox. Playsa then checks the claim within one working day.
- Groups the organiser has not reviewed remain unconfirmed for 30 days after Playsa approved the claim. After that they are hidden until the organiser confirms or corrects them.
- The organiser can at any time ask Playsa to correct or remove information about the organiser, also without taking over the page.
6. Price
6.1 The free year
Everything in the service under section 3, including the parts of the club management system, is free up to and including 12 September 2027. The same end date applies to every organiser, regardless of when they took over their page or started using a part. An organiser that is a pilot also has its own written pilot agreement, which takes precedence over the terms under section 2.
6.2 After the free year
- Playsa announces by 12 June 2027 at the latest what applies after the free year.
- Playsa does not charge an organiser that has not itself taken out a subscription.
- If Playsa opens new parts that are not listed in section 3, they may require a subscription. The organiser chooses for itself whether to use them.
- How the number of active participants is counted, how Playsa invoices and what applies on late payment will be stated in the terms before anyone can take out a subscription.
6.3 The price list
The price is the same for every organiser and depends only on how many active participants the organiser has. Prices exclude VAT.
| Active participants | Price per month | Price per year |
|---|---|---|
| Up to 100 | SEK 149 | SEK 1,788 |
| 101 to 400 | SEK 349 | SEK 4,188 |
| 401 to 1,000 | SEK 599 | SEK 7,188 |
| 1,001 to 2,500 | SEK 899 | SEK 10,788 |
| Over 2,500 | SEK 1,290 | SEK 15,480 |
Everything in the service is included in the price. There is no setup fee, no lock-in period, no commission on the organiser's revenue and no add-ons.
6.4 Active participants
- An active participant is a unique person who during the calendar month has an active membership, an active registration or a place in a group at the organiser.
- Guardians, leaders, board members and staff are not counted, unless they are participants themselves.
- Children in a queue, on an interest list or at a trial session are not counted.
- A person is counted once even if they are in several groups.
6.5 Price changes
Playsa may change the price list with at least three months' notice. The change applies to every organiser alike. The organiser may terminate the agreement before the change takes effect.
7. Termination and suspension
- The organiser may terminate the agreement at any time by an administrator writing to hej@playsa.se. The termination takes effect at the end of the calendar month in which Playsa received it. Paid time is not refunded.
- Playsa may terminate the agreement with at least three months' notice and then states the reasons.
- Either party may terminate the agreement with immediate effect if the other party materially breaches the agreement and does not remedy it within 30 days of a written reminder.
- Playsa may suspend the organiser immediately if needed to protect children, other users or the service, for example on suspicion of fraud. Playsa states the reasons in writing no later than when the suspension takes effect. The organiser may request a review by writing to hej@playsa.se.
- When the agreement ends, Playsa closes trial sessions, Playsa's queue and enrolment for the organiser's groups, and the parents are informed. The leaders and the connected guardians no longer reach the organiser's data, and no more notices, invitations, invoices or reminders are sent. The organiser's data is handled under section 8.3.
8. The organiser's data
8.1 Ownership
The organiser owns its data: the details of the groups, the places status, trial sessions, priority rules, photos and the details of bookings and queues that the organiser handles. The organiser also owns the register, the data the organiser has imported, the enrolments with answers and consents from when they were sent, the fees and the fee basis, the invoices and the payments, the attendance, the status of the criminal record extracts and the basis for grants. Playsa uses them only to deliver the service, under the data processing agreement.
8.2 A copy at any time
The organiser can get a copy of its data at any time. An administrator writes to hej@playsa.se, and Playsa provides the data in CSV or JSON within 30 days, free of charge. An administrator can also export the register, the fee basis, the basis for grants and the invoices as CSV in the portal, and the bookkeeping export as SIE or CSV, once the parts have opened.
8.3 When the agreement ends
- The organiser can get a copy of its data for 60 days after the agreement has ended.
- After that Playsa deletes the data Playsa processes on behalf of the organiser within 30 days. Deleted data remains in the backups for at most 30 more days.
- The organiser itself keeps what law or grant rules require the organiser to keep, for example the basis for LOK support and municipal grants and accounting records such as the invoices, before Playsa deletes the data.
- The connections between the organiser's register and the parents' accounts are removed. The parents' accounts remain.
- Playsa confirms the deletion in writing if the organiser asks.
- The organiser's own content is removed from the search page. Public information about the organiser may be shown under section 14.
- Data that Playsa itself is responsible for, for example the parents' accounts, their choices in the account and their bookings, queue places and enrolments that have not been sent, is handled under Playsa's privacy policy.
8.4 Deletion
- Playsa deletes the data in the club management system after the periods set out in annex 5 of the data processing agreement.
- A person in the register who has left is deleted on the deletion date the organiser has set. If the organiser has not set a date, the person is deleted 24 months after they left.
- 30 days before a person is deleted, the organiser gets a summary of the person to download. Only an administrator downloads it. For the person's attendance, Playsa then keeps only the session, the group and the number, for the grants.
9. Personal data
- Playsa is the data controller for the search page, the parents' and adults' accounts with Playsa (the family account), their choices in the account, the interest list and the bookings, queue registrations and enrolments they make, until the booking, queue registration or enrolment has been sent to the organiser.
- From that moment the organiser is the data controller for its handling of it, for example who gets a place, and Playsa is the data processor. The data processing agreement applies.
- The organiser is the data controller, and Playsa the data processor, for:
- the register, including the data the organiser has imported, entered in the portal or received through an enrolment,
- the answers to the organiser's questions and the consents in the enrolment,
- the fees and the fee basis,
- the invoices and the payments,
- the attendance, including the check-ins, and the basis for grants,
- the status of the criminal record extracts,
- notices, invitations and mailings based on the register or the attendance, under section 9 c.
- The connection between the organiser's register and the family account is a handover under section 9 b.
- For the organiser's photos, section 10 a applies.
- The organiser does not enter personal identity numbers, health data or other sensitive data in the service, not even in free text, for example in the reason for a deviation in the queue, in the answers to the organiser's questions, in an invitation, in a message to a group or in a message on an invoice. If an import file contains personal identity numbers, section 9 a applies.
- The organiser informs the people whose data the organiser handles in the service: that the organiser uses Playsa, what data is in the register, that guardians can connect their account and get notices, and how they reach the organiser. This applies in particular to people who came in through the import and never chose Playsa themselves. Playsa provides a template for the information.
9 a. The import
This section applies when the import has opened.
- The administrator and the office can add the organiser's register from a file in Excel or CSV. Playsa shows how each row is interpreted, which rows have errors and which may be duplicates before anything is saved.
- The organiser confirms for every import, with a tick box in the first step of the import, that
- the data comes from the organiser's own register,
- the people are or have been members, participants, guardians, contact persons or leaders at the organiser,
- the organiser may transfer the data to Playsa to handle it in the service,
- the file only contains data the organiser needs, and
- the organiser informs the people under section 9.
- Playsa stores who confirmed, when and which version of the text applied. An import without a confirmation is not saved.
- Playsa never imports columns with health data, for example allergies, or with addresses. If the file contains personal identity numbers, Playsa works out the date of birth and sex and does not store the number.
- An import never marks anyone as having left and never merges duplicates unless the organiser has chosen it. If the person already exists in the register, the register wins, and only empty fields are filled from the file.
- The import sends no emails. The invitation to the family account is a separate step.
- Playsa never stores the file itself. The interpreted rows are kept for at most seven days after the import, so that the organiser can undo it. Then they are deleted.
9 b. The connection to the family account
This section applies when the connection has opened.
- The organiser's register and Playsa's family account are separate. A row in the register is the organiser's. The family account is Playsa's and the parent's.
- They meet only through a connection that a guardian, or an adult member for their own row, approves in their account with Playsa. The organiser invites with a code in an email that is valid for seven days. Nothing is connected automatically, not even when the email addresses are the same.
- From the account, only the email address and the phone number go to the register, and only when the guardian changes them in their account and chooses to send the change to the organiser. Name, date of birth and other data never go from the account to the register, and nothing is written from the register into the account.
- The handover. Playsa is responsible for the family account, for the guardian's choices and for sending the contact details when the guardian has chosen it. From when the change is in the organiser's register, the organiser is responsible and Playsa is the processor. What the guardian sees about the organiser, for example "Member of your club, group Kids' dance" on Home, and the notices under section 9 c are the organiser's data that Playsa shows and sends as a processor.
- A guardian sees a child's row only when the organiser's register has them as the child's guardian. The organiser is responsible for the register showing the right guardians, and removes a guardian who no longer has custody.
- The guardian can remove the connection at any time. The organiser's administrators and office can also remove it, for example when custody has changed. The organiser's row remains.
- The connection to a child is removed when the child turns 18 according to the date of birth in the register, or at the turn of the year after that when the register only has the year of birth. The organiser is therefore responsible for the register having the child's date of birth or year of birth.
- The organiser sees whether a row is connected, whether the connection is to the person's own account or to a family, and since when. The organiser never sees who in the family approved, the family account, the family's other children or whether the person exists at another organiser.
9 c. Notices, invitations and mailings
This section applies when attendance, invitations or email to groups have opened.
Attendance notices
- If the organiser takes attendance in Playsa, connected guardians get notices about their children, according to their own choices in the account:
- a presence notice the first time the child is marked present in a session,
- an absence notice 60 minutes after the session ended, when the child's last mark is absent,
- a correction if a leader changes a child to present after the absence notice was sent.
- No notice is sent for a child who has not been marked, for reported absence, for a cancelled session or for attendance entered after the absence notice would have been sent.
- A child checked in under section 9 d counts as present. The presence notice is then not sent to the person who checked in, and no absence notice is sent.
- The notice contains the child's first name, the group and the day. Never the place, the time, the leader's name or other children, not even as a number.
- The guardian chooses per child whether the notices are sent. Without a choice of their own, the absence notice is sent for children under 16, and the presence notice is not. From the year the child turns 16, both are off unless the guardian has chosen them.
- The notices are sent by email.
- The organiser can switch off the notices for the whole organisation, for example before the members have been informed about them.
- The organiser never sees which guardians have chosen the notices, and a number of notices under 3 for a session is not shown.
Invitations and email to a group
- The organiser's administrators and office can invite a group to a session or a separate event. The invitation goes to the guardians who have connected their account, and they reply yes, no or maybe. The organiser can let Playsa remind those who have not replied, or have replied maybe, one day before the reply deadline. Other families see only numbers, never names.
- The administrators and the office can send email to a group. The email is sent only when the organiser has a shared reply address in the portal. If the recipient is under 16, the guardians get a copy, also when the recipient is a leader or assistant leader. For a participant between 16 and 18, a guardian gets a copy if they have chosen it.
- The organiser sees whether a message has been opened in Playsa or whether the recipient has clicked a link in it. It does not rely on any tracking pixel.
- The families see a leader's name only when the leader is 18 or older according to the register. The office sees in the portal which leaders lack birth data.
- The content of an invitation and of a message is the organiser's. The organiser writes no health data, no personal identity numbers and no information about other children in them.
Who is responsible
- The notices, invitations and messages are based on the organiser's register and attendance. The organiser is responsible for the attendance being correct, for the right guardians being in the register and for the content of what the organiser sends. Playsa sends as a processor on the organiser's instructions.
- The guardian's choice to get notices or not belongs to the family account, and Playsa is responsible for it.
- The organiser informs its members and guardians that attendance is taken in Playsa and that guardians can get notices, before the organiser starts taking attendance in Playsa.
9 d. Self check-in
This section applies when the organiser has switched on check-in for a group.
- Check-in is off by default. The administrator or the office switches it on per group in the portal and chooses a code on the leader's screen or a poster.
- Check-in is open from 30 minutes before the session until the end of the session. The code on the leader's screen changes every 30 seconds and is accepted for at most one minute.
- The poster has one code for the group and the term, and a picture of the poster also works from home. The office can change the poster's code, and the old one then stops working. The poster's code is removed when the term has ended.
- Only a guardian who has connected their account under section 9 b checks in their children. A participant checks in themselves only from the age of 18. Children under 18 never check in themselves.
- Playsa stores who checked in and when. No location, no IP address and no picture is stored with the check-in.
- A check-in counts as present. The leader's mark takes precedence, and the leader can change a check-in or close check-in for a session. The leader sees that the child is checked in but not who checked in. The office sees it in the portal's log.
10. The organiser's responsibilities
The organiser is responsible for:
- that the details of groups, prices, times, places, ages and places status are correct and up to date,
- that the register is correct: the right guardians for each child, the right leaders in each group, the children's birth data, and that people who have left are marked as having left,
- following the rules that apply to the organiser's activities, for example consumer rules towards parents, VAT and grant rules,
- checks of leaders' criminal record extracts according to the rules that apply to the organiser and section 10 b,
- insurance for participants, also at trial sessions,
- receiving the children who have booked a trial session, and only removing a session with bookings when it cannot be held,
- handling bookings and queues according to the rules the organiser shows on the search page, and giving word when a parent has accepted an offer,
- handling enrolments according to the fees, discounts and priority rules the organiser shows, and its invoices, its invoicing and its bookkeeping, under sections 10 c and 10 d,
- that the attendance is correct, also when the families check in, and the applications for LOK support and municipal grants that the organiser submits. Playsa's basis for grants is a basis, and the organiser checks it,
- having the right to publish the texts, logos and photos the organiser enters, and for photos following section 10 a,
- having a legal basis for the personal data the organiser handles in the service, including the data the organiser imports,
- informing its members and guardians under sections 9 and 9 c,
- not using the service for unlawful content or to send advertising to children.
10 a. Photos
The organiser can upload its own photos in the portal. The photos are shown at the organiser's groups on the search page.
Photo library and selection
- The organiser has at most 12 photos in its photo library.
- The organiser selects at most 3 photos per group. A group without a selection shows the organiser's first photo.
- Playsa resizes the photos and removes all information in the file, for example position and time. The original file is not stored.
What the organiser confirms for every photo
- The photo comes from the organiser's own activities.
- The organiser has the right to publish the photo and to grant Playsa the right below. The photographer has given permission, or the organiser itself holds the rights to the photo.
- Every child who can be recognised has the guardians' consent to the photo being shown on Playsa. If the child has two guardians, both have said yes. An older child has also been allowed to say yes or no themselves, and a no stands.
- Every adult who can be recognised has given their consent.
- No child who is visible has protected personal data. The organiser asks the guardians about this when obtaining consent.
- The photo does not identify anyone by name. The alt text and the caption contain no names of people.
- The photo shows no children in swimwear, underwear or changing rooms.
- The consent covers the photo being shown publicly on Playsa together with the organiser's name and the group's time and place.
The organiser confirms these points in the portal at every upload. Playsa stores who confirmed, when and which version of the text applied. Playsa provides a template for the consent.
Municipal organisers
- A municipal arts school or another public authority does not upload photos in which children can be recognised until Playsa has announced that it is possible.
The consent
- The consent may not be a condition for the child to take part in the activities.
- The organiser keeps the consent for as long as the photo is on Playsa and shows it to Playsa on request within five working days.
- If someone withdraws their consent, the organiser removes the photo in the portal without delay.
Reporting, reviewing, hiding and removing
- Anyone can report a photo with the "This is my child" button at the photo, without an account. The report does not hide the photo. Playsa reviews the report by the next working day. If it is correct that a guardian has not said yes, or if the photo breaches this section in some other way, Playsa hides the photo. Otherwise the photo stays. Anyone who considers a photo to be unlawful for some other reason reports it via the contact page on playsa.se.
- Playsa reviews new photos afterwards. Playsa may hide or remove a photo that breaches this section or the law, also without a report.
- When Playsa hides or removes a photo, the organiser's administrators get a message immediately. The message says which photo it concerns, whether the photo is hidden or removed and for how long, whether the decision followed a report or Playsa's review, which rule in the terms or in law the decision rests on and how the organiser can have the decision reviewed. Who reported is not stated. No message is sent about a report that does not lead to the photo being hidden.
- Only Playsa hides a photo, and only Playsa shows a hidden photo again. Playsa shows it again when the organiser has shown that consent exists for every person who can be recognised, and Playsa judges that the photo complies with this section.
- The organiser can request a review by writing to hej@playsa.se. Playsa replies within two working days. The organiser can also turn to the ordinary courts.
- If the organiser does not comply with this section, Playsa may suspend the ability to upload photos. Section 7 applies if the whole account is suspended.
- The organiser can remove a photo at any time. The photo stops being shown within one minute and is deleted at Playsa. Deleted photos remain in the backups for at most 30 days.
Playsa's right to show the photos
- The organiser grants Playsa the right, without compensation, to store, resize and show the photos on the search page and in Playsa's apps, for as long as the photo is in the photo library and the agreement applies.
- Playsa does not use the photos in its own marketing, does not pass them on to others, does not use them to train AI and uses no facial recognition.
- Playsa asks search engines not to show the photos in their image search.
- The right ends when the photo is removed, when the organiser's profile is no longer shown or when the agreement ends. The photo is then deleted within 30 days.
Personal data in the photos
- The organiser is the data controller for the photo, for the consent and for the choice to upload the photo.
- Playsa stores and shows the photos as a data processor under the data processing agreement.
- Reports about photos are processed by Playsa as a data controller.
10 b. Criminal record extracts
This section applies when the criminal record extracts have opened.
- The organiser checks the leaders' criminal record extracts itself. Playsa checks no extracts.
- In the service, the administrator or the office records only that the check has been done: the date of the extract, the day of the check, who checked and until when the check is valid. The extract is never uploaded and never stored at Playsa. There is no negative status.
- The check is valid for six months from the date of the extract, unless the organiser sets another period. The extract may be at most six months old when the check is recorded.
- From 30 days before the check expires, the leader sees it in the leader view and the office in the portal.
- The day after the check has expired, and as long as there is no check, the leader no longer sees the children's names, the guardians' phone numbers or the attendance in the group, and the office gets an alert in the portal. The block applies in groups with children, for leaders aged 15 or over who are not also an administrator or office.
- A leader without a valid check cannot be added as a leader in a group with children.
- The service shows only whether the check is valid, expires soon, has expired or is missing.
- Only the leader themselves, the office and the administrators see the status.
10 c. Enrolment and fees
This section applies when enrolment has opened.
Enrolment
- The enrolment is the family's, and Playsa's under section 9, until the family presses Send. After that it is the organiser's. No place is held while the family fills it in.
- The organiser admits by hand, or chooses to admit automatically when there is a place, first come, first served within each priority class. An enrolment from Playsa's queue is admitted automatically.
- A family that has been admitted confirms within five days. Otherwise the enrolment is declined. If the organiser admits automatically, the place then goes to the next in line, and otherwise the office is told that the place is free.
- If the organiser marks an enrolment as waiting or declines it, the organiser writes a reason, which the family sees word for word.
- The family can withdraw an enrolment free of charge until it has been confirmed.
- The price is locked when the enrolment is sent. If the organiser changes its rules, they apply only to new enrolments.
- Only the administrators and the office see the enrolments, the answers and the consents.
Questions and consents
- The organiser can ask its own questions in the enrolment. Free text is only possible as an optional question, with at most 300 characters and a warning against health data. The organiser asks no questions about health, allergies or diagnoses, and the service has no such question type.
- A consent is a text with a version. Playsa stores the answer with the text's version and the time. The organiser can make a consent required for the enrolment. A no to a voluntary consent must not affect the place.
Fees
- The organiser sets fee plans, VAT, sibling discount, a reduction for a late start and priority windows. Playsa calculates each enrolment's fee according to the settings and shows each line to the family before the enrolment is sent.
- The organiser invoices through the invoices under section 10 d, or in its own system with the fee basis from the portal. Playsa receives no payments, and the money never passes through Playsa.
- The organiser is responsible for the fees towards the families, for its bookkeeping and for the VAT. If the organiser or Playsa finds an error in Playsa's calculation, Playsa corrects the calculation, and the organiser corrects its invoice.
- The enrolment is an agreement between the family and the organiser. The organiser is responsible for complying with the consumer rules towards the family, also on the right of withdrawal. When the family has confirmed the place, it can withdraw from the enrolment within 14 days and then pays for the sessions that have been held.
10 d. Invoices
This section applies when invoices have opened.
- The organiser can send invoices with OCR numbers from Playsa to the payer, for the fees in the enrolment and, when the organiser chooses it, for participants without an enrolment according to the group's fee plan.
- The payment goes to the organiser's own bankgiro and never to or through Playsa. Playsa receives no payments.
- The invoice is sent by email with a link to the invoice in Playsa. A payer without an email address gets a PDF that the organiser prints. Playsa sends no paper letters.
- Playsa sends at most two reminders, 7 and 21 days after the due date unless the organiser has chosen other days. After the second, the organiser gets an alert. Playsa never charges a reminder fee or interest and never uses debt collection.
- The organiser marks off payments by reading in the file from Bankgirot or by hand, also payments with Fritidskortet. Playsa never stores the file itself, only the payments in it, and removes the message and the payer's name from the file after 90 days.
- The organiser decides on crediting, writing off and splitting an invoice. Playsa suggests the amount from the organiser's own rules.
- The bankgiro is changed only by an administrator with two-factor authentication. All administrators and the treasurer then get an email, and invoices already sent keep their bankgiro.
- Playsa keeps the invoices, payments, reminders and credits on the organiser's behalf up to and including the seventh year after the calendar year in which the financial year ended, and then deletes them. The organiser exports the bookkeeping export as SIE or CSV.
- The organiser is responsible for the invoice having the content required by the Bookkeeping Act and the VAT Act, for the VAT and for its bookkeeping.
11. Playsa's responsibilities
Playsa is responsible for:
- delivering the service professionally and as described in section 3,
- the security of the service under the data processing agreement, annex 4,
- giving notice in advance of planned maintenance that affects the portal, trial sessions or the queue, and of major changes.
Playsa shows in the portal the source for each rule that the basis for grants builds on. A rule that Playsa has not checked against the source is marked Not verified.
The target for availability is 99.9 percent per month, planned maintenance excluded. The target is not a guarantee and gives no price reduction. In the event of a disruption:
- If a disruption of the portal, trial sessions, the queue, enrolment or attendance has lasted more than 30 minutes, Playsa emails the administrators of the organisers that use that part.
- After a disruption that has lasted a long time, Playsa writes a short line about it on the contact page on playsa.se.
12. Support
- The organiser reaches Playsa at hej@playsa.se. Playsa replies on weekdays within two working days.
- Playsa checks claims within one working day.
- If the organiser suspects a security incident or unauthorised access, the organiser writes "Incident" in the subject line. Playsa handles such messages before everything else.
- Playsa reads the organiser's data only when needed for a matter the organiser has raised, to fix an error, to handle an incident or when the law requires it.
- For a matter, Playsa reads the data in the club management system only with a permission that an administrator gives in the portal for that matter, for at most 30 days. The permission gives Playsa the groups' details, names, years of birth and status in the register and the details of the photos. The permission and every read are logged. In an incident or when the law requires it, no permission is needed, and Playsa informs the organiser afterwards unless it is prohibited.
- Support is included in the price.
13. The search page: ranking and visibility
- The parent chooses what to search for, for example interest, the child's age, weekday, time, area, places status and price. Groups that do not match the search are not shown.
- The default sort order, Best match, orders the results in this order:
- Groups the organiser has confirmed, with free or few places and a places status at most 14 days old.
- Confirmed groups with an open queue and a places status at most 14 days old.
- Confirmed groups with free places, few places or a queue and an older places status.
- Confirmed groups without a places status.
- Confirmed groups that are full.
- Groups the organiser has not confirmed.
- Within each step the results are sorted by how well they match the words the parent searched for, then by distance and then by how recently the places status was updated.
- The parent can instead sort by distance or lowest price.
- No organiser can pay for a better placement. Everyone pays the same price.
- If these main parameters change, section 17 applies.
14. Intellectual property
- Playsa owns the service, the software and the Playsa trademark.
- The organiser owns its content. The organiser grants Playsa the right, without compensation, to show the content on the search page, in Playsa's apps and in search engines for as long as the agreement applies. For photos, section 10 a applies instead.
- Public information about the organiser, for example the name, groups, times and the logo from the organiser's website, may be shown by Playsa even without an agreement, with the source and marked Unconfirmed, until the organiser asks Playsa to remove it.
15. Limitation of liability
- Neither party is liable for indirect loss, for example lost profit.
- Playsa's total liability during a contract year is limited to what the organiser has paid Playsa during the last twelve months. If the organiser has paid nothing, for example during the free year, the liability is limited to SEK 0.
- The limitations do not apply in the event of intent or gross negligence.
- The limitations also apply to liability under the data processing agreement. They do not affect the data subjects' right to compensation under Article 82 of the General Data Protection Regulation.
16. Force majeure
Neither party is liable for delays or failures caused by something outside the party's control, for example war, natural disaster, decisions by public authorities, extensive outages at subcontractors or in the power grid and communications. The party shall notify the other party without delay.
17. Changes to the terms
- Playsa announces changes by email to the administrators at least 30 days before they take effect.
- The organiser may terminate the agreement before the change takes effect.
- Changes required by law or a public authority may take effect earlier. Minor changes, such as corrected spelling, are not announced.
- If a change requires a new acceptance, the portal asks for it.
18. Public organisers
For municipal arts schools and other public authorities the following also applies:
- The organiser is responsible for the agreement complying with the rules that apply to the organiser, for example on public procurement.
- Playsa assists when the organiser has to disclose public records or preserve data under archival rules, for example the register and the attendance.
- The organiser may propose that SKR's template for data processing agreements is used instead of Playsa's. This applies if Playsa approves it in writing. The security measures and the list of sub-processors then become annexes to SKR's template.
- For photos, section 10 a applies.
19. Confidentiality
The parties keep the other party's trade secrets and other non-public information confidential, during the agreement and for three years after. This does not apply to information a party must disclose by law. For public organisers, the Public Access to Information and Secrecy Act applies.
20. Assignment
Playsa may assign the agreement to a company that takes over the service. The organiser is then notified in advance and may terminate the agreement. The organiser may not assign the agreement without Playsa's approval.
21. Law and disputes
Swedish law applies. Disputes are tried by the ordinary courts with Malmö District Court as the court of first instance.
22. Contact
Hodla AB, which is changing its name to Playsa AB, Vimpelgatan 1, 211 14 Malmö. Email: hej@playsa.se. Playsa replies in Swedish and English.
